Software Assessment Process

Whether you are looking to download free applications, renew existing software, or purchase new solutions, initiating a software assessment request is the first mandatory step.

Step 1: Initiate Request

Send an email to the IT department describing your software requirements and intended use case.

Tip: If the software is already listed in the IT Services Catalog, mention it to expedite the process.

Step 2: Documentation & Approval

After your initial request, you will receive a Software Assessment Request form. Complete the form with accurate details about the software, its purpose, and technical requirements. The completed form is submitted to your department head for approval.

Important: Include detailed and accurate information. Incomplete forms may delay the assessment.

Step 3: IT Assessment Decision

The IT assessment team reviews the request for security compliance, compatibility with existing infrastructure, and licensing requirements. The IT team will share the decision along with any related documentation.

Note: Additional information may be required during assessment. Once technically approved, the request proceeds to the procurement process.

Post-Approval Steps

A. Legal Review

All software purchases (online or contract) require legal review and approval. For online purchases: site terms and privacy policy review. For contracts: vendor documentation, commercial register, and draft agreement.

B. Authorized Signatory

All contracts must be signed by an authorized university representative. Contract value determines the signatory level per university procurement policy.

C. Recordkeeping

Once signed by both parties, one original copy is retained by the university and the other by the vendor. Digital copies are archived in the IT contracts repository.

D. Payment Processing

The department's financial manager processes payment per university procurement policy with all supporting and approved documentation.
